How it plays out on a deal
Readers cannot check a room every hour. Alerts tell them when something relevant arrives. They also create risk if they are too broad or sent too early, for example announcing a file to bidders before permissions are set.
Good control means the administrator decides when alerts go out, readers choose instant or daily digests, and messages never name a file or folder the recipient cannot open.
What to check in a review or demo
- 1Whether alerts can be held back until a batch is published.
- 2Whether users can choose between instant alerts and a daily digest.
- 3Whether alert emails reveal file names, and whether that can be switched off.
Read alongside
- Draft modeA setting that keeps newly uploaded documents invisible to outside users until an administrator publishes them, sometimes called staging or unpublished status.
- Bulk uploadUploading many files and folders at once, typically by dragging a whole directory into the browser, with the folder structure kept intact.
- Version controlRetaining each superseded copy of a file, stamped with who replaced it and when, so it is possible to show later exactly which draft sat in the room on a given day.
- Activity reportsSummaries built from the audit trail that show logins, document views, downloads and time spent, broken down by user, group, folder or document.
