How our comparisons work

A head-to-head is the last step before a shortlist turns into a decision, so each comparison on this site answers the questions a deal team asks at that point: where the two rooms differ, what each difference means in a live process, and what the same term would cost on each. Both providers are measured with the six criteria used across our reviews, and both are checked against the same twelve-item feature list, so a gap in one comparison means the same as a gap in another.

The pairings cover the decisions readers face most often: a modern transaction room against an established enterprise platform, two enterprise rooms against each other, and general file sharing tools against each other for teams that do not need a full deal workflow. Some matchups are close enough that the overall score barely matters; others are lopsided on paper but still split by a single requirement such as ISO 27001 or a published price.

How to decide between two finalists

Five checks that turn a head-to-head into a decision.

  1. 01

    Check the hard requirements first

Before reading scores, look at the specs table on the comparison: certifications, trial, pricing model. If only one side meets a requirement your counterparty will enforce, the decision is already made.

  2. 02

Read the feature gaps, not the shared core

Most head-to-heads share audit trails, watermarks and two-factor login. The deciding features are the few that only one side ships, listed in each comparison under feature gaps.

  3. 03

    Weigh the criterion splits

A pair can tie on the total and still split three criteria each way. Decide which of those criteria your deal actually stresses, and let that decide rather than the overall margin.

  4. 04

Cost the same term on both

Every comparison has a cost estimate for your term and seat count. For quote-based vendors, ask for a written price for exactly that scope so the numbers line up.

  5. 05

Settle it with one shared test folder

Where both vendors offer a trial or demo, load the same small folder into each, invite one outside reviewer and push one question through Q&A. Note where each room made you stop and think.

Build your own comparison

Not every pairing has its own page yet. Open any two of our 18 reviews: they share one layout, so the score breakdown, pricing and feature map line up section by section. If you want the shortlist made for you, the data room quiz ranks every provider against your answers.

Frequently asked questions

How are two data rooms compared?

Both providers are scored with the same six criteria and the same twelve-item feature checklist. Each comparison shows the score duel, the features only one of them ships, the specs side by side and a cost estimate for your term and seat count.

Can I compare two providers that are not listed here?

Every provider has a full review with the same structure, so you can open two reviews side by side. Our ranking table on the reviews page also lists all six criterion scores for every provider.

Which comparison is the closest?

Ellty vs iDeals is the tightest matchup we publish, with the two rooms 0.1 points apart. In close pairings like that, the feature gaps and the pricing model decide more than the overall score.

Why does a lower-scoring room sometimes win a comparison?

The overall score uses general weights. If one criterion matters far more for your deal, for example ISO 27001 for a bank or a published price for a fundraise, the provider that wins that criterion can be the better choice even with a lower total.
