How it plays out on a deal
Most enterprise transaction rooms quote per project. That gives room to negotiate and lets the vendor fit the offer to the deal, but makes early budgeting hard and comparisons uneven, because each quote is built differently.
The fix is to ask every vendor for the same breakdown: monthly price for the committed term, extension price per month, overage rules, what is included in service and onboarding, and archive cost. Once quotes share a shape, they can be compared on a line-by-line basis.
What to check in a review or demo
- 1Whether the quote shows separate lines for term, extension, overage and archive.
- 2Which service levels and support hours are included.
- 3How long the quoted price is valid and whether it changes on renewal.
