Dynamic watermarking

The short version

An overlay stamped on a document at the moment it is viewed, printed or downloaded, showing details such as the reader's name, email, IP address and the time.

How it plays out on a deal

A static watermark says "Confidential" on every copy. A dynamic one says who this particular copy belongs to. That changes behavior: a reader who knows their name is on every page is far less likely to photograph or forward it, and a leaked page can be traced.

Implementations vary in what fields can be shown, how readable the document stays underneath, and whether the mark is applied to downloads and prints as well as on-screen views. Spreadsheets are the usual weak spot, so check how the watermark appears on an exported workbook.

What to check in a review or demo

  1. 1Which fields the watermark can show and whether they can be set per folder.
  2. 2Whether the watermark applies to downloads and prints, not only to the viewer.
  3. 3How a watermarked spreadsheet looks once downloaded, and whether it is still usable.

Dynamic watermarks: where the reviewed providers stand

From the twelve-item feature checklist in our reviews: a provider counts only if the feature ships natively. Read the review for how it works and on which plan.
