How it plays out on a deal
Most readers spend most of their time in the viewer, so its quality shapes how a room feels in practice. A fast viewer that opens large PDFs and spreadsheets cleanly keeps readers inside the platform. A slow one pushes them to ask for downloads, which weakens every other control.
Viewer quality is hard to judge from feature lists. Format support, speed with big files, search inside the open document and mobile behavior are best checked by loading real material into a trial or demo room.
What to check in a review or demo
- 1How long a 200-page scanned PDF takes to open and become searchable in the viewer.
- 2Whether spreadsheets show all tabs, formulas and hidden columns as intended.
- 3Which file types open in the viewer and which force a download.
Read alongside
- View-only accessA permission that lets a user read a document in the room's viewer but not download, print or edit it.
- Dynamic watermarkingAn overlay stamped on a document at the moment it is viewed, printed or downloaded, showing details such as the reader's name, email, IP address and the time.
- Fence viewA viewing mode that hides most of the page and shows only a narrow band around the cursor, so the full document cannot be captured in one screenshot or read over a shoulder.
- Mobile appA native phone or tablet application for reading documents, answering questions and checking activity in the data room, as opposed to using the website in a mobile browser.
